The Administrative Assistant will be polished, detail-oriented, and fanatically organized; with a genuine passion to support the whole team at Stawowski McGill, specifically the Manager and Partner of Financial Advisory.  The Administrative Assistant will consistently interact with others to facilitate alignment, trust, and predictability with the team and clients.


  • 3+ years in an administrative capacity
  • Mastery of Microsoft Office products
  • Exceptional time management skills
  • Excellent communication skills on both email and phone
  • Extremely organized, which includes follow up
  • Proven ability to manage project work
  • Keen attention to detail and a high level of proficiency in anticipating, addressing and resolving an on-going variety of challenges
  • Professional demeanor, poise under pressure, and the ability to maintain the highest level of confidentiality
  • Ability to work independently
  • Strong customer service and quality orientation
  • Ability to learn and improve upon current systems
  • Flexibility to take on other projects as they arise
  • Confidence to share ideas and work to improve the team
  • Experience in accounting firm an asset
  • Experience with bookkeeping and/or accounting is an asset


  • Provide day-to-day administrative functions of a busy and growing Business and Financial advisory firm
  • Acting as back-up for the Executive Assistant, greeting clients and answering phones as needed
  • Plan meetings and take detailed notes the Partners can use in future meetings
  • Support partners with calendar management and task lists as required
  • Provide account payable and receivable support (for example, submit and reconcile expense reports)
  • Prepare packages for clients and ensure they received in a timely manner
  • Complete data entry and maximize spreadsheets
  • Maintain and update databases as required
  • Proactively support the needs of the Partners and team members to deliver exceptional client service
  • Track progress of files and ensure tracking system is updated appropriately by the team
  • Provide support for the team setting up the files by entering trial balance and updating letters
  • Potential opportunity to learn accounting and preparing files which includes compiling financial statements and tax returns
